Submission Guidelines FOR INSTRUCTORS

Deadline for proposal submission: 10 October 2025

Notification of review outcome: 14 November 2025

Deadline for Course handout submission: 5 June 2026

All times are in Anywhere on Earth (AoE) time zone.

Courses will be offered at introductory, intermediate or advanced level covering topics from the spectrum of the various areas of the Conference.

Courses will run either as ‘on-site’ or as ‘on-line’ events. Prospective instructors should be ready to deliver Courses either ‘on-site’ to an audience of up to 40 people in a classroom seating, or 'on-line' (with no preset limit of participants).

Authors of accepted Courses will be requested to submit their final camera-ready Course Handouts by the 5th of June 2026. Guidelines for the preparation of camera-ready Course handouts will become available in due course.

Prospective instructors are required to submit through the CMS their proposal that should include:

  • Title
  • Instructor(s) contact details (name, affiliation, country, email)
  • Course modality ('on-site', 'on-line')
  • Course level (introductory, intermediate, advanced)
  • Target audience (researchers/academics, students, professionals, industry, other)
  • Abstract (a 300-word summary of the Course)
  • Description of benefits for attendees
  • Content of the Course (i.e., aims, objectives and topics to be covered and a tentative table of contents)
  • Description of any hands-on part and/or exercises
  • A sample of the Course’s material as an attachment (optional)
  • Course history: a list of previously presented relevant Courses / tutorials / classes
  • For ‘on-site’ Courses, any additional equipment required on top of the provided equipment (a projection screen and a projector or a large monitor, a sound system with a microphone, a camera, and a laptop PC connected to internet)
  • For ‘on-site’ Courses, any material or office supplies required
  • For either ‘on-site’ or ‘on-line’ Courses: any specific requirements for participants (e.g. access to a particular software, use of laptop or tablet, previous knowledge)
  • Short bio of instructor(s) 

PARTICIPATION

Participation in the Courses is available for registered Conference participants. An additional token fee of $25 per Course is applicable.

Course instructors do not need to register for the Conference unless they are presenting a paper/poster or if they would also like to attend the Conference.
