Paper preparation
Camera-ready papers shall have typically 12 pages but no less than 10 and no more than 20 pages.
All authors are kindly asked to follow the Instructions for Authors document from Springer for the preparation of their manuscripts. This document summarizes how a proceedings paper should be structured, how elements (headings, figures, references) should be formatted using predefined styles, etc. It also gives some insight on how a paper will be typeset at Springer.
Authors are kindly advised to pay attention to Springer's Book Publishing Policies (which include the ‘AI Policies and Guidance’ and the ‘Code of Conduct for Book Authors’)
Alternative Text (Alt Text)
To support accessibility in their manuscript, authors are asked to provide descriptive alternative text for images, charts, and graphs so that screen reader software programs can convey the information to persons who cannot see the image (e.g. blind or visually impaired). Alternative text, also known as 'alt text', is a brief description that explains how an image looks or what purpose it serves in a digital format. Alt text is crucial for individuals using screen reader technology, as well as for those trying to comprehend the content of an image in case it doesn't load. Alt text is not the same as a caption, which typically provides information that is not already in the visual element itself.

Users of LaTeX
Authors are strongly encouraged to use the LaTeX format, which provides greater control of the layout, better typesetting of formulas, and effortless consistency of the final PDF that will be forwarded for publication.
Authors who wish to use LaTeX2e for the preparation of their manuscript should download the corresponding support file available by Springer and check the included readme.txt file for further instructions.
Users of MS Word
Authors should make use of the available MS Word Template, which incorporates all the recommended formatting guidelines. Instructions for installing and using the author template are also included.
Note: Authors may wish to consider opening the document splnproc2501.docm and overwrite its sample contents with their data. They can then use the buttons of the template’s custom ribbon to format additional elements.-
Users of Mac
Mac users could try the support file provided by Springer.
OPEN ACCESS
Authors interested in open access for their papers (open choice) should inform the Program Administration as soon as possible.
Special open access contracts should be signed and the full invoicing address should be provided before the start of the publication process.
Use of third-party content
Third-party content is any content that has been reproduced, derived or adapted from other sources.
Authors wishing to include third-party content (e.g. figures, photos, tables, text passages etc) are required to obtain permission from the copyright owner(s) for both the print and online format before their paper is submitted to Springer. Authors should review the information provided on Springer's third-party permissions guidelines and enclose the permissions checklist in the final manuscript files.
LICENSE TO PUBLISH
Each contribution must be accompanied by the Springer 'License to Publish' form. With this form, authors will grant to Springer the right to publish their paper. This will ensure the widest possible protection and dissemination of information under copyright laws.
- The corresponding author (one per submission), who must match the corresponding author marked in the header of the paper, must have the full right, power, and authority to sign the agreement on behalf of all of the authors of a particular paper, and accepts responsibility for releasing this material on their behalf.
- Modified forms are not acceptable.
- The field "Volume Editor(s) Name(s)" should not be changed.
- The “Proposed Title of the Contribution” (i.e., paper title) and the "Author(s) Full Name(s)" fields should match exactly the title and the list of authors of the paper.
- Machine-typed signatures and digital signatures are NOT acceptable by Springer.
Important notes:
- The corresponding author must be available to check the paper before it is published.
- Once a paper has been delivered to Springer Nature, changes relating to the authorship of the paper cannot be made. Authors’ names cannot be added or deleted, their order cannot be changed, and the corresponding author cannot be altered.
SUBMISSION DETAILS
Authors of accepted papers are requested to submit their final, camera-ready papers, for inclusion in the Conference Proceedings, by 30 January 2026 via the Conference Management System (CMS):
- Final source files (MS Word in DOC or DOCX, or LaTeX, including figures) of their paper.
- Final PDF file corresponding exactly to the final source files.
- A file with the ALT text description for all figures or images. Please use the XLSX file to provide your list of ALT text.
- A scanned copy in PDF format of a filled in (on pages 1 and 5) and signed by the Corresponding Author (on page 5) License to Publish form.
- The name and e-mail address of the Corresponding Author who will sign the License to Publish form on behalf of all of the authors and check the proof of their paper. The Corresponding Author should also be clearly marked in the header of the paper. We strongly recommend that all authors include their email addresses in the header of their papers. These will be used by the Publisher to send an email to each author containing a coded personal access link, enabling authors to download a PDF of their paper from Springer Nature Link.
